Stop Patient Drop-Off | Lesson 3 of 4

Retention and reactivation aren't the same system. Most clinics run one and wonder why nothing moves.

In this lesson: the four-piece system that runs underneath everything you saw in Lessons 1 and 2, why each piece is there, and the one email you can send today to your easiest group to bring back.

Here's what to watch for in this lesson.

Retention and reactivation run on one calendar, four pieces. The weekly newsletter keeps you in front of every active patient. The welcome campaign fires automatically when a new patient starts care. The monthly check-in goes to anyone, no segments, so no patient can say the practice went quiet. And reactivation works the list underneath it all, the one you pulled in Lesson 1.

Time doesn't bring patients back. Something getting in front of them at the right time does. That's why reactivation isn't one email to the whole list. It's three messages for three mindsets: 60 to 90 days, the sweet spot and the most doable group on the list. 6 to 12 months, where the resistance is mental, not medical. And a year or more, where they assume you forgot them, and they're still reachable if something actually reaches them.

Your one email today

Pull your reactivation list from Lesson 1 and pull out the 60 to 90 day group. That's your easiest group to bring back.

The email follows three rules. Reach out, don't wait for them to call. Keep it normal, no guilt. And give them one simple next step, two real times to pick from, not an open-ended "let us know."

Copy this, swap in your information, and send it today.

Subject: Checking in from [Your Practice Name]

Preview: I've got a couple of openings this week and thought of you.

Hi [Patient First Name],

It's been a little while since we've seen you at [Your Practice Name], and I wanted to reach out myself.

Life gets busy, and a visit can slip further down the list without anyone meaning for it to. That happens to almost everyone, so there's no need to feel behind.

I've got [Day] at [Time] or [Day] at [Time] open this week. Just let me know which one works better, call us at [Your Phone Number], or book directly here: [Your Booking Link].

Looking forward to seeing you again.

Warmly,
[Your Name], DC
