Chiro Connect ("we," "us," or "our") provides a human-powered, done-for-you patient communication service for chiropractic practices. This policy explains what information we collect through getchiroconnect.com and members.getchiroconnect.com (together, the "Site"), how we use it, and the choices you have.
By using the Site or our service, you agree to the collection and use of information as described here.
1. Who this policy covers
This policy applies to two different groups of people, and we want to be clear about which is which:
- Visitors and clients. If you're a chiropractor, practice owner, or CA browsing the Site, requesting a call, signing up for the Chiro Courier, or using your practice's account with us, this policy explains what we collect from you directly.
- Patients of our clients. If your chiropractor uses Chiro Connect, they've given us your name, email, and appointment information so we can send you the newsletters, check-ins, and reminders on their behalf. Section 4 explains exactly what we do with that.
2. Information we collect directly
When you visit the Site. Like most websites, we automatically collect some technical information: your browser type, device, general location, the pages you visit, and how you got here. We use this to keep the Site running well and understand what's working.
When you fill out a form. Depending on which form you use, we collect:
- Your email address, when you sign up for the Chiro Courier newsletter
- Your first name and email address, when you request the Patient Comeback Campaign guide
- Your practice's email, website, online booking link, sending email address, and practice name, when you set up a new Chiro Connect account
- Your name, email, and the time you pick, when you book a call with us
When you become a client. If you subscribe to Chiro Connect, we collect the account and billing details needed to run your service, including your practice information and payment method. Payment card details are handled directly by Stripe, our payment processor. We never see or store your full card number.
When you sign in to the member area. We use a magic link to sign you in, no password. We send a one-time link to your email address. We don't store passwords, because we don't have any.
3. Cookies
We use cookies (small files stored in your browser) for a few specific jobs:
- Keeping you signed in to the member area
- Making sure our forms submit correctly and blocking spam (standard measures like reCAPTCHA)
- Understanding overall Site traffic, so we know what content is useful
You can block cookies in your browser settings. Some parts of the Site, like the member area, won't work correctly without them.
4. Information we handle on behalf of our clients
This is the part that makes Chiro Connect different from a typical website, so we want to walk through it plainly.
When a chiropractic practice becomes a Chiro Connect client, they give us their patient list so our team can write and send newsletters, check-in emails, welcome sequences, and reactivation campaigns on their behalf. That list typically includes patient names, email addresses, and how recently they've been in for a visit, which is what we use to time our outreach.
A few things are true about this data, always:
- It's used for one purpose. We use it only to run the communication our client has hired us to run. We don't use it for our own marketing, and we don't combine it with any other client's list.
- The emails don't talk about your specific care. Every send speaks in general wellness terms. Nobody on our team writes about a patient's diagnosis, treatment, or medical history, because we never have that information to begin with.
- We may use AI tools to help draft content, the same way we always have, but every email is reviewed and approved by a real person on our team before it goes out.
- Our client owns their list, not us. If a client's agreement with us ends, we export their patient list back to them and remove it from our systems.
- The practice is responsible for their patients. Practices are responsible for having the right to share their patient contact information with us and for meeting their own obligations to their patients under applicable law.
If you're a patient who received an email from your chiropractor's office through Chiro Connect and you have questions, the fastest path is to contact your chiropractor's office directly, since they hold the relationship with you. You can also reach us at team@getchiroconnect.com.
5. How we use information
We use the information above to:
- Run the Site and respond to your questions
- Set up and run your Chiro Connect service, if you're a client
- Send the communications our clients have hired us to send to their patients
- Send you the Chiro Courier, the Patient Comeback Campaign guide, or other resources you've requested
- Understand how people use the Site so we can improve it
- Meet our legal and accounting obligations
We don't sell personal information, and we don't share it with third parties for their own marketing.
6. Who we share information with
We work with a small number of vendors to run Chiro Connect. They only receive what they need to do their specific job, and they don't get to use it for anything else:
- Campaign Monitor, to send newsletters and manage our email lists
- Resend, to send sign-in links for the member area
- Stripe, to process subscription payments
- Neon, to host the database behind the member area
- Vercel, to host the Site itself
We may also share information if we're required to by law, to protect the rights or safety of our clients or their patients, or as part of a business transaction like a merger or sale, in which case this policy would continue to apply to your information.
7. Data security
We take reasonable steps to protect the information we handle, including encryption in transit, restricted access to client and patient data, and secure hosting. No system is perfectly secure, but we take the trust our clients place in us with their patients' information seriously and work to protect it.
8. Data retention
We keep information for as long as we need it to provide the service or as required by law. When a client relationship ends, we export their patient data back to them and delete it from our systems. When you unsubscribe from the Chiro Courier or another list, we stop emailing you and remove you from that list.
9. Your choices
You can:
- Unsubscribe from any marketing email using the link at the bottom of that email
- Ask us what information we have about you
- Ask us to correct or delete your information, subject to what we need to keep for legal or accounting reasons
To do any of these, email team@getchiroconnect.com.
10. Children's privacy
The Site isn't directed at children, and we don't knowingly collect information from anyone under 13. If you believe we've collected information from a child under 13, contact us at team@getchiroconnect.com and we'll remove it.
11. Links to other websites
The Site may link to other websites we don't control, including our clients' own booking pages and social media. This policy only covers Chiro Connect. We'd encourage you to read the privacy policy of any site before sharing information with it.
12. Changes to this policy
We may update this policy as our service changes. If we make a significant change, we'll update the date at the top of this page. We'd encourage you to check back occasionally.
